Secretary's Report

Leo H. ~ District 32 Secretary

Jan

JANUARY 19, 2004

OPENING: Opened with the Preamble traditions, and the Serenity Prayer.

DCM REPORT: Kevin handed out pamphlets to the GSR's to take back to there groups. The web site has a new format, All the minutes are posted on the site, just hit the year, and you are there. Kevin handed all in attendance a typed DCM report, and a group agenda also. The GSR report forms have the wrong address for the WW Area 72 Treasurer. It should be:

WW AREA 72

PMB 162

1321 King St. Suite # 1

Bellingham WA. 98229-6237

This address must be written like this one, and line 1 thru 4 must be the same. If not, the post office will either return the letter, or put it in the dead letter bin. The post office is no longer forwarding mail to the area treasurer if the address is wrong. So the address on the envelope must look exactly like the one above, with everything written on the right line.

We have the #1 site at 5-Mile Lake for the Dist. Picnic this July.

We need a volunteer with a truck to transport the archive display items to The Burien Little Assembly. Contact Kevin on the Web. Kevin@seattleaa.com

The group information form is being updated, so be sure your group number is correct, and add this number to your checks, and GSR group reports, so there is no error when posting your group reports, or getting credit for contributions.

ALT. DCM REPORT:Kelly: Elected to give his report next month to allow some time to our 2 speakers tonight.

TREASURERS REPORT:Susie: Report was accepted and passed. Dist. 32 has never had a budget, now we as GSR's can help set our Dist. 32 budget guidelines, keeping our prudent reserve intact, also. We need standing committees that come from the groups, and can vote on a budget for these committees, without cutting the Dist. Budget short.

Norm from the Area, are here tonight to talk to the groups about; being a group treasurer,

I also want to thank Kelly for stepping up to the plate, and filling in while I was unavailable.

SECRETARIES REPORT:Leo C. If you would like the minutes E-Mailed to you, at the same time I E-Mail them to the web site, send requests to: mailto:Leogsr@theemailbox.com I will gladly send these to you each month, Leo. The December minutes were accepted and passed with one amendment to them to be corrected. One groups name was wrong. It is important that you put the name of your group as it is listed in the Seattle Intergroup fellowship, and meeting time address book. Your group number can also be written on your group reports to insure your group is listed correctly in the Group Reports area in these meeting minutes. Thank you,

Leo C.

COMMITTEE REPORTS:

GRAPEVINE & LITERATURE: Kelly: handed out catalogues and subscription forms. The quarterly report is included in the DCM packet Kevin handed out.

BRIDGE THE GAP: Nelson: No Report.

ARCHIVES REPORT: Is on the web site. We need a new Archivist, those interested can contact Kevin, or Donna. E-Mail Kevin: Kevin@seattleaa.com We need to find storage space for a dozen boxes, a few coolers, and some pictures. Any volunteers?

OLD BUSINESS: Hosting a web site. Web costs from previous year-Given to Treasurer. This site is supported by most groups at the meeting. Setting budget guidelines. Still in progress.

Volunteers for writing the news letter are: Bob T.

Harry, and Mike T. volunteered to help with the web site.

Kelly volunteered to store the archives from the Dist. At his place for a little while, but we still need a volunteer archivist, and storage site for the Dist.

Create an Ad Hoc committee for the web site.

A motion for the web site has been handed out to the groups in attendance. This motion was Birthed by Luck C.

NEW BUSINESS:

Extending the Dist. Meeting to 2 Hrs. This will be started In January 2004, as a 3 month test to see how the format goes. The meetings will start at 7 PM, see you there.

Funding a Dist. Web site: at less than $10.00 a month, or $150.00 per year, expenses were given to Susie in October. Hammering out a budget for the Dist. Still in progress.

The Dist. 32 picnic site has been acquired.

KEVIN'S WEB SITE: Building phase is done, and is available to everyone. http://seattleaa.com

Motions:

A motion for one nights stay at PRASSA for the Dcm attending.

MOTION BIRTH: Kevin

MOTION SECENDED: Walter

MOTION STATUS: This motion was Passed.

DIST. 32 WELCOMS ED, AND NORM, FROM THE AREA TREASURE.

Ed, and Norm handed out folders to everyone. These are for your group treasurer, and are full of information about being a group treasurer. There is also a sticker for the groups check book. This is so you can keep your group number handy when donating to GSO, and the Area. Lots of groups have bulletin boards where they can post events. We were also asked if there were any more $1.00 beverages any more, and were given a flyer in the folder to illustrate this. So why not try more at basket time?

Use the new address on your envelopes, since the post office will no longer forward mail. The post office only forwards mail for one year only.

Groups in 2003 supported AA very well, since with out contributions AA can not do anything. Thanks to all.

When you get you group checking account, ask for a non interest bearing account. You will need an EIN # ASK FOR ONE.

We have lots of groups with similar names, so it is important to put your group number on your checks.

Let Ed know if your group number is wrong on page #5, of the Area Budget sheet handed out.

Dist. 32 has at least 23 groups contributing to the area, out of a possible 54 groups. That's about half of our groups contributing. Good job, well done. Since contributions from the groups covered the costs of printing and such, the area did not have to dip into the reserve fund. The GSO doesn't have a prudent reserve fund, they just have a reserve fund.

Thank you, Ed and Norm, for attending our Dist. 32 GSR meeting, and for all the useful information you have given us tonight.

ARCHIVES REPORT: Donna: We need a new Archivist, those interested can contact Kevin, or Donna. E-Mail Kevin: Kevin@seattleaa.com

Donna will be stepping down as the Dist. 32 archivist this next rotation. Donna has found some places to store the Archives at, but we still need to vote on this. If any one has extra sheet protecters, or 3-ring binders, please give them to your GSR to bring to the GSR meeting. I met Roger, who knew Dr. Bob, and was sober 2 days before Dr. Bob. Jim, and Joseph, have old tapes, some with Dist. 18 on them, and want to know if anyone wants to have copies. I took History to Old Hall, unplanned. I also went to the 27th year anniversary diner for Eddie H. I am making a list of old-timers, and want to tape there AA stories. If you know any old-timers, please interview them, write down there stories. This is important for our AA History. Thanks. I have found a storage site, but only have 6 days left to get it for our archives, or we loose the price quoted for it. Jill wanted me to thank Dist. 32, for there $200.00 donation to The Burien Little assembly. Anyone interested in the Archives position should attend the quartiles with me.
